What Headspace charges a team, and what the licence covers

Headspace publishes its pricing for small teams, so a company can budget for it without waiting on a quote. The checkout, headed Headspace for Small Business, sells from 10 to 1,000 seats, and the price of each seat depends on how many are in the pack. Clinical services and bigger contracts are sold separately, and their prices are not published.

How Headspace prices a team

What a company buys is an annual Headspace Core licence for each seat. Prices are shown in US dollars, pounds sterling or euro. Payment is by credit card at the self-serve checkout, with no option to pay by invoice. Before the payment step, the checkout asks for a name, a company name, an email address and a phone number. A plan bought this way does not renew automatically, and Headspace emails you before the renewal date.

The price of a seat for the year is set by the band the pack falls into.

The checkout also has further price bands between 350 and 1,000 seats. Its calculator multiplies the band's price by the number of seats, which gives €1,350.50 a year for 25 seats and €5,127.00 a year for 100 seats.

What the licence covers

Each seat opens a year of unlimited access to the Headspace Core content library, which holds more than 1,000 guided meditations, courses and skill-building exercises. The licence includes sleep stories, bedtime meditations and relaxing sounds as well, and it comes in five languages, English, Spanish, German, French and Portuguese. It also allows up to five dependants for each employee on a purchase of 50 or more seats.

You get an admin portal where you track employee adoption and engagement. Once the purchase goes through, Headspace says you will receive a welcome email within 48 business hours, carrying setup instructions, important links and promotional material for spreading the word inside the company. People join through a unique enrolment link, where each person enters a name and work email address, and a seat can be freed in the admin portal when someone no longer needs it.

Clinical care and larger contracts

The plan on the checkout is the content library. Headspace's site for larger organisations lists an employee assistance programme, clinical care, coaching, therapy and psychiatry, with no price published. Buying any of that starts with a demo request, and the price is agreed with Headspace's sales team rather than shown on a page.

What a coaching seat adds beside it

Headspace pitches its licence as a way to help a team stress less, sleep soundly and navigate tough emotions. A TriageFit coaching seat works on the physical side for the same team: how each person trains, eats and recovers, coached around the week they actually have. Each seat is the full TriageFit membership, paid for by the company and held by one person at a time.

Whoever takes a seat starts with an intake of about thirty minutes, which can be saved partway. Their programme is built from it in coach-designed phases of four to six weeks. Exercises are chosen for the equipment they have, any injuries they mention and their level, so the plan works whether they train in a gym after work, at home or outside. The main lifts have video, and food targets are set for them and adjust each week.

Once a week they check in, which takes a few minutes because what they logged is already filled in. A coaching message about the week comes back within seconds, a real coach reads the same check-in, and the next week is rebuilt around it. Between check-ins the AI coach answers at any hour and proposes changes, such as a shorter session or a swapped exercise, which the person confirms before anything moves.

The company's report is one printable document of group figures: how many people joined, finished the intake and were active in the past month. Nothing is shown for fewer than five people, and nobody at the company can read what an individual logs.

A team in Sligo

Take a software company in Sligo with about thirty staff, which already gives everyone Headspace. The founders want something for the physical side as well, so they price 10 coaching seats on the business page and buy them by card. In its own announcement the company tells staff that the seats are optional and that it sees only who holds one and group figures.

One of the developers takes a seat because a stiff lower back has come with the desk job. They finish the intake over two evenings, and their programme leaves out the movements that aggravate the back. The first check-in gets its coaching message within seconds and is read by a real coach as well. A few months in, every seat is held and two more people ask for one, so the admin adds two seats from the portal, invoiced for the rest of the year.

What the seats cost

The yearly price, with VAT included, is €500 a seat for 10 to 24 seats, €450 a seat for 25 to 49 seats, €415 a seat for 50 to 99 seats and €375 for 100 or more. As on the Headspace checkout, the band sets the price of every seat in the pack, so the smallest pack of 10 seats comes to €5,000. In sterling the ladder is £450 a seat for 10 to 24 seats, £405 a seat for 25 to 49 seats, £375 a seat for 50 to 99 seats and £340 for 100 or more, and in US dollars a seat costs between $415 and $550, again with VAT included.

The first year is paid at checkout, by card or, when billed in euro, by SEPA direct debit. Seats added later are invoiced pro rata for the rest of the year. A pack renews each year unless you cancel it, and a reminder arrives about 30 days before with the renewal date and the number of seats. To cancel, email from the billing address before that date.

How to start

Start on the business page, where the calculator gives the price of a pack in any of the three currencies. A pack of up to 50 seats is bought online, and the portal opens as soon as checkout completes. For a bigger team, the enquiry form on the same page reaches a real person, who replies by email.
