Turning away clients when your diary is full

Being a fully booked personal trainer is the goal, and it brings a problem of its own: the enquiries keep coming after the diary is full. Every message you turn away is someone who was ready to start, and most of them will not wait months for a slot. What you do with those enquiries decides whether they become a waiting list, a lost lead or a small income of their own.
Your options when the diary is full

None of these rules out the others. Plenty of trainers raise their rates, keep a short waiting list and refer the people who cannot wait.
The enquiries a referral suits
Some of the people who contact a busy trainer were never going to fit the diary anyway. Some can train only at hours you do not work, some live too far away, and some cannot stretch to the cost of regular sessions. Others just want to start this week. For all of them, being coached somewhere else straight away is better than waiting for you, and a referral lets you help without taking on hours you do not have.
What the person you refer gets
TriageFit is a coaching membership, so the person you send is coached rather than handed a list of workouts. Their programme is built from an intake of about thirty minutes, covering their goals, training history, injuries and equipment, in phases our coaches designed. Food targets are set from the same intake and adjust each week. A weekly check-in, pre-filled from what they log, rebuilds the next week and is read by a real coach as well, and the AI coach answers questions at any hour, with every change it suggests put to them to confirm. Coaches review the form-check videos they send, and the group has coaches in it too.
It costs them €50 every 4 weeks or €500 a year, VAT included, which is the same price they would pay arriving without you. Online fitness coaching shows what a week inside looks like.
What you earn from each referral
As an affiliate you earn 10% of every invoice the person pays, from the first payment for as long as their subscription lasts, and the rate is the same for every affiliate. On the block plan that is €5 a payment and €65 a year, and on the annual plan it is €50 for every year they renew. It is worked out on the amount they pay, before tax or processing fees, and a refund or chargeback reverses the commission on that payment.
The person is credited to you if they sign up within 60 days of using your link and then pay, and the most recent link they used is the one that counts. After a 30-day hold each commission becomes payable, and Stripe Connect sends a payout every month once your payable balance reaches €20.
Being straight with the people you refer
Referring someone you have turned away is easy to do well. Tell them why you are suggesting it and that you earn a commission if they join, which the programme terms ask of any trainer or coach promoting to their own clients. Describe the membership as the site does, and let the person decide.
If a slot opens up later and they would rather train with you in person, nothing stops them. The membership can be paused or cancelled from inside the app, and your commission ends when their payments do.
Using the link in a busy week
A trainer with a full diary has little time for promotion, so the link is best placed where enquiries already land. Put it in the reply you send when you turn someone away, in your booking page's waiting-list message and in your bio, and tag each placement in the link toolkit so the dashboard shows which one sends people who stay. The toolkit also makes a QR code for a poster at the gym, which carries its own tag.
How to join
Apply on the affiliate page with your name and email, and no TriageFit account is needed. A sign-in link follows by email, your referral link is waiting in the dashboard, and you connect Stripe to be paid. - Will referring enquiries to TriageFit take clients away from me?
- The people you refer are ones you cannot take on, so they are not clients you would otherwise have. If a slot opens and they want sessions with you, they can pause or cancel the membership from inside the app, and your commission stops when their payments stop.
- How much could a fully booked trainer earn from referrals?
- Each referral on the block plan earns you €65 over a year, and one on the annual plan earns €50 for each year they renew. The calculator on the affiliate page works out a figure from the number of people you expect to refer, in euro, pounds or US dollars.
- Should I tell the person I earn a commission?
- Yes. The programme terms ask anyone promoting TriageFit to their own clients or members, such as a trainer, gym or studio, to say plainly that they earn a commission when someone joins. The person pays the same price either way.
- Can I refer someone with an injury?
- The intake asks about injuries and restrictions, and old injuries shape the programme from the first session, with the exercises that aggravate them left out. Some answers in the health screen mean no programme is built before the person's GP has said they can go ahead, which they then confirm in the app, while their GP or physio stays the person for treatment.
